The Office of Marketing and Communications (OMC) serves as the university’s voice and guardian of its brand. OMC plays a vital role in shaping and managing the university’s public perception, reputation, and communication strategy. Its responsibility includes developing strategic actions that align with the institution’s mission and vision.

OMC provides a wide range of services, including: branding and integrated marketing, media relations and crisis communications, print and digital publications, social media and website (ulm.edu) management, graphic design, video production, photography, and licensing.

 


 

MEETING CAMPUS DEMAND

There is a high demand across campus for services like media outreach, graphic design, photography, videography, and social media. To manage this effectively, formal requests must be submitted through the OMC Ticketing System at ulm.edu/omctask.

University Stationery

All units, including schools, colleges, offices, programs, labs, institutes, and centers must use official stationery for maintaining a cohesive and recognizable identity.

The stationery set includes business cards, letterhead and envelopes, and name badges.

 

Order Business Cards

 

ULM has partnered with print vendors to offer a streamlined process for ordering standard business cards, letterhead, notecards and envelopes. These partnership provides consistency, flexibility, and cost savings to the university and offers live proofing for a user of items within the system.

How Do I Order Place an Order?

All Academic, Institutional, and Athletic stationary business cards, letterhead, envelopes, and name badges should be ordered by following these directions:

 


BUSINESS CARDS

Instructions for Ordering:

• Create an account with MOO. Orders for items use a third-party vendor and require an account to log in. This is not your ULM username & password. For security, do not use your ULM password with non-university systems.

• Select a prepared template and click edit to customize your details (name, position, contact information, etc.), select square or rounded corners, and select desired quantity.

• Carefully review and finalize your order. Double-check all spelling, email addresses, and phone numbers before submitting. Any revisions or changes requested after submission will be billed as a separate order.

• Enter your office address as the delivery location. Orders will arrive via UPS.

• At checkout, select "company invoice" and enter your department name in the PO/Cost Center field for payment details.

Instructions for Processing Payment:

The department placing the order is responsible for completing a check request to pay for the items purchased. Please include a copy of the invoice with appropriate signatures when submitting to Accounts Payable.

On the check request, reference Purchase Order Number P0019833

Use ULM Banner Vendor Number for MOO Inc: 30111660.

*Please ensure that MOO statements are processed promptly. If invoices remain unpaid, the "Company Invoice" option will be disabled, and MOO will require immediate payment by credit card, debit card, or PayPal. This affects all ULM accounts until balances are cleared.

The Office of Marketing & Communications manages and monitors the university's primary institutional social media accounts. We also set the overarching strategy for all other social channels maintained on behalf of offices, programs, and colleges. MEDIA & NEWS RELATIONS

We promote ULM's academic programs, research, and achievements. Our media services include: press releases and media outreach, press conference coordiantion, and crisis communication support.

Turnaround time for press releases is 2 weeks, and feature stories is 4 weeks.

Need a photo with your story? Submit a separate Photography request. 

Note: Media coverage is not guaranteed. Reporters are more likely to cover stories that are timely, relevant, and broadly impactful.

 

PHOTOGRAPHY

Priority is given to media/public relations events, student recruitment, faculty/staff headshots, events promoting ULM’s strategic goals

Submit requests at least 2 weeks in advance. Photos will be delivered within 2 weeks after the shoot. Include a brief description of the event or need. After-hours or weekend events are considered case by case.

You will receive email confirmation if your event is scheduled. If not, we will notify you.

 

GRAPHIC DESIGN

All design requests must follow ULM’s branding and editorial standards. Final materials must be approved by OMC before publication or production.

Turnaround time for new projects is minimum 4 weeks. Updates to previous projects is 2 weeks. Project review is only 1 week. Design projects are handled on a first-come, first-served basis. If our team is at capacity, we can recommend freelance design vendors.

 

LICENSING

General Licensing Guide

The "University of Louisiana Monroe" name, its logos, and its athletic marks are the intellectual property of the university. Therefore, commercial use by other entities, businesses, and agencies for promotional and other purposes without the specific consent of the university is prohibited. As the university's brand continues to grow in the region, so does the popularity of its name and images. As a result, the university's licensing program was developed to promote and properly use ULM's name, logos, and marks.

University Logo Use

The university logo is the common thread throughout all university communications. Therefore, it should be the starting point in creating all marketing materials. Deliberate, consistent logo placement will establish the university's name and institutional credence without distraction from its message.

Licensing Guide

The "University of Louisiana Monroe®" name or "ULM®" acronym, its logos, and its athletic marks are the trademarked and statutory property of the university. Commercial use by other entities, businesses, and agencies for promotional and other purposes without the specific consent of the university is prohibited. 

Licensing Agent

ULM is contracted with Collegiate Licensing Company (CLC), a company that manages the commercial use of ULM's name, logos, and marks. CLC also ensures that only officially licensed vendors use the ULM identity for the production of apparel, advertising items, and other materials for sale or distribution. 

ULM's Office of Marketing and Communications works closely with CLC in its artwork approval and licensing program. This helps ensure that artwork depicting ULM's identity meets the quality and consistency associated with ULM's brand.

The use of ULM's intellectual property must adhere to the University’s Brand Guide. If you have questions, contact OMC at omc@ulm.edu.

Licensing Basics

ULM's trademark is any mark, logo, symbol, nickname, letter(s), word, or derivative that can be associated with the university and can be distinguished from those of other institutions or entities. Examples of these trademarks include the University name, University logos, the University Seal, ACE the mascot, and all secondary marks.


These trademarks are the property of the University of Louisiana Monroe. All uses, either print or digital (except for internal use by the university itself, news coverage, printing firms performing jobs for the university, and certain non-commercial purposes) should be approved in advance by the university. Unauthorized use of ULM's trademarks is prohibited.
 

Who Needs to be Licensed?

Anyone who uses the name or marks of the University of Louisiana Monroe for a commercial purpose must be licensed. Manufacturers of products bearing ULM's marks must have a license through the university's agent, CLC, which vigorously enforces trademark rights. This includes retailers who screen or embroider their own products or use products from another company. 


Companies that only sell finished products and do not actually produce or package the products themselves are not required to be licensed. However, vendors carrying ULM merchandise should ensure that the products they distribute are licensed vendors.
 

Who Must Use Licensed Vendors?

University departments and units do not need permission to use University marks on products intended for normal business operations such as forms, stationery, brochures, and business cards. However, trademarks should not be altered and should be reproduced using a high-quality master digital image available from the Office of University Marketing and Communications.

Faculty, Staff and Students

For Personal Use:  

The university brand assets are protected and should be used only for official university projects and materials. Generally, using a university logo or other brand assets for a personal project is not permitted unless you have explicit permission from the university. These assets are protected by copyright and trademark laws, and unauthorized use can lead to legal issues. It’s best to consult with OMC to understand your need and potential approval.

For Student Organization and Student Use:

As a faculty advisor, if a student organization plans to use the logo on T-shirts, promotional material, or as part of its official logo, please contact the Office of Marketing and Communications for approvalb efore moving forward with production. Students and RSO Advisors: Submit the request through a faculty member or advisor to the Office of Marketing and Communications at ulm.edu/omctask for approval. 

The Office of Marketing and Communications does not manage student requests directly, as our focus is on broader institutional messaging and branding. For assistance with student activities, organizations, or events, please contanct the Office of Student Development at studentdevelopment@ulm.edu.

For Internal Use (In Class) :

If a faculty or staff member needs access or plans to use the logo in a ULM presentation, paper, poster/project for contest submission, publication, or other purpose, they can download the logo in the correct format for your presentation through Logos & Assets.

If a faculty or staff member has a unique case for use of the logo, please submit your request to the Office of Marketing & Communications ticketing system.

For Academic Use:

If a faculty or staff member needs access or plans to use the logo in a ULM  presentation, paper, poster, or project for contest submission, publication, grant application, or similar, you may use the official academic logo if the research or project is sanctioned and approved by the Vice President of Academic Affairs office.

Please contact your major professor or faculty/staff member who is advising or responsible for the project. Please contact your School director or Dean director for permission or any questions regarding the use of the logo in your presentation.

Alumni and Company

Does artwork have to be submitted for approval?

Yes. All artwork/designs must be submitted by the vendor to CLC for approval by the ULM Licensing Program prior to production. The vendor is responsible for submitting the design to CLC.

If I am a small local business or ULM alumni, do I need to ask permission to use a trademark?

Yes. All uses of the school’s trademarks on merchandise require approval through the licensing program. It is important for ULM to protect the trademarks, because controlling their use helps maintain their value.

If the product is not going to be resold, does it have to be produced by a licensed vendor?

Yes. All items bearing the ULM name or marks must be produced by a licensed vendor whether they are for resale or promotional use. Goods produced for internal consumption (promotional, give-away, etc.) require a restricted license and are expected to follow the same approval procedures (vendor submits to CLC).

What does ULM do if unlicensed merchandise is discovered in the marketplace or on campus?

Merchandise produced without authorization should be reported to CLC Licensing legal team that manages numerous infringement actions each year and is well-versed in identifying the source of the infringement and drafting notices that result in swift and effective action.

How can I obtain a list of licensees?

How do I become a vendor?

Vendors can obtain an application for a License Agreement directly from Collegiate Licensing Company (CLC). This application can be downloaded from Collegiate Licensing Companyunder the “Apply Now” button.  

 

MERCHANDISE & PROMOTIONAL MATERIALS

ULM Brand Guidelines for Merchandise and Promotional Materials

These guidelines ensure that all merchandise and promotional materials referencing or using the University of Louisiana Monroe (ULM) brand elements, including the university name, logos, colors, and other trademarks, align with ULM’s official branding standards. Consistent use of these elements enhances brand recognition, reinforces university identity, and fosters pride across our community.

Approval Process Overview

Before producing any merchandise or promotional materials (e.g., t-shirts, posters, banners, apparel, or other items), follow these steps to ensure brand compliance:

1. Brand Identity Usage Approval

Ensure your proposed use of ULM branding (logos, names, colors, etc.) is compliant with ULM’s visual identity standards.

2. Color Selection

Use ULM’s official color palette as defined in the brand identity guidelines.

3. Theme Selection

Select one of ULM’s approved themes to ensure your design aligns with our institutional identity:

  • Warhawk Theme – Incorporates military, aviation, or Warhawk-related elements.
  • Bayou Theme – Reflects Louisiana’s natural beauty (e.g., bayous, cypress trees).
  • Program-Specific Theme – Represents an academic or administrative unit (e.g., Nursing, Business).
  • University Event Theme – Celebrates official ULM events (e.g., Convocation, Spring Fever).

4. Audience-Specific Guidelines

  • Student-Led Initiatives: Include the phrasing“AT ULM” or “AT UNIVERSITY OF LOUISIANA MONROE”in all promotional materials.
  • Faculty and Staff Communications: Use official ULM identity marks and refer to the university as“ULM” or “University of Louisiana Monroe” in written content.

Note: When referencing a program, organization, or initiative using an acronym (e.g., RSO, CAB, SGA), always spell out the full name at least once in your design or accompanying content. Acronyms without context can cause confusion, especially since merchandise or promotional materials may appear in settings where the audience is unfamiliar with ULM-specific terminology.

5. Vendor Selection

Choose a vendor licensed with the Collegiate Licensing Company (CLC). A list of approved vendors is available at: ulm.edu/omc/licensing.html

6. Final Design Submission

Once your design is complete and aligns with these guidelines:

  • Faculty and Staff: Submit to the Office of Marketing and Communications for approval at ulm.edu/omctask.
  • Students and RSO Advisors: Submit requests through a faculty member or advisor to the Office of Marketing and Communications at ulm.edu/omctask for approval.

 

 

 


 

Post-Approval Production Steps

 

STEP 1 - Vendor Licensing


All vendors must be licensed with the Collegiate Licensing Company (CLC). Select from the approved list at: ulm.edu/omc/licensing.html

STEP 2 - Internal Approval Required


Do not proceed to production until you have received official internal approval from the appropriate office (Marketing & Communications or Office of Student Life).

STEP 3 - Submit to Vendor


Once approved, submit your design to the licensed vendor through the appropriate purchasing process.

STEP 4 - CLC Final Approval


The vendor will then submit the final artwork/design to the CLC for review and final approval under ULM’s Licensing Program.
Note: Skipping any of these steps will delay your production timeline and may result in the cancellation of your project.
